Position Overview - Customer Service/Account Coordinator

Hours: M-F// 830a-5p

Key Requirements to be Considered for This Role:

Wholesale experience is REQUIRED

Proficiency with NetSuite ERP

Experience supporting sales teams working with major department stores such as Macy's, Nordstrom, Bloomingdale's, and specialty retailers

Responsibilities

  • Sample Management & Documentation

  • Promptly receive, inspect, and track incoming samples

  • Notify production and factory teams of quality control (QC) issues

  • Prepare and monitor shipments of samples to factories and customers

  • Maintain an organized summary of customer-specific sample requirements

  • Create and distribute packing lists for sample shipments

  • Photograph and document all incoming samples

  • Update and manage a tracking spreadsheet to monitor the status and location of outgoing samples

Showroom & Order Management

  • Keep showroom tidy, presentable, and appointment-ready

  • Take detailed notes during appointments and assist with market week preparations

  • Enter customer orders into NetSuite or the designated order management system

  • Confirm purchase order (PO) details with customers and communicate order progress to the sales team

  • Support EDI/logistics teams with necessary setup tasks

  • Oversee internal inventory reporting and management

Customer Service & Sales Support

  • Provide direct support to key accounts regarding inventory, order status, delivery timelines, and sample updates

  • Communicate with customers via phone and email, escalating concerns to the sales team as needed

  • Deliver outstanding customer service by responding to inquiries in a timely and professional manner

  • Develop and maintain strong relationships with customers and internal teams

  • Organize and maintain customer documentation and reports

  • Keep the sales team informed about customer requests, changes, or concerns

  • Manage return authorizations upon management approval
